Refunds and Cancellations Policy

- Introduction
This Refunds and Cancellations Policy applies to DCCCuk memberships, events, rallies, holidays, and any bookings made via the DCCCuk website or approved booking systems (including WooCommerce).
- Membership Fees
2.1 Membership fees are payable annually and are non-refundable, except where required by law or at the discretion of the Management Committee.
2.2 If membership is refused or terminated by DCCCuk, a pro-rata refund may be considered at the discretion of the Management Committee.
- Event and Rally Bookings
3.1 Event, rally, and holiday bookings are subject to availability and confirmation.
3.2 Cancellations by members must be submitted in writing (email is acceptable).
3.3 Where a refund is approved, a £5.00 administration fee per refund will apply.
3.4 Refund amounts and eligibility may depend on site terms, deposits paid, and notice given.
- Cancellations by DCCCuk
4.1 DCCCuk reserves the right to cancel events or bookings due to unforeseen circumstances, including but not limited to weather conditions, site issues, or insufficient attendance.
4.2 Where DCCCuk cancels an event, members will be offered a full refund of fees paid for that event, excluding any non-recoverable third-party costs where applicable.
- No-Shows and Early Departures
5.1 No refunds will be given for non-attendance, late arrival, or early departure from events.
- Changes to Bookings
6.1 Requests to change bookings (including dates or attendee details) must be made in advance and are subject to approval.
6.2 Approved changes may incur a £5.00 administration fee.
- Exceptional Circumstances
7.1 DCCCuk may consider refunds or credits in exceptional circumstances (e.g. serious illness or bereavement) at its discretion.
